What the Brand & Media Center collects, why it is needed, who can access it, and how long it is retained.
Information we collect
Temen Systems collects only the contact, assignment, partnership, intended-use, and supporting information needed to evaluate and fulfill a press or partner request. Request information is restricted to authorized brand operators, used for the documented purpose, and is not sold.
Depending on the request, this can include contact information, organization and role, the assignment or opportunity, intended use, audience, channels, geography, dates, correspondence, and supporting files voluntarily supplied by the requester.
How it is used
Information is used to triage and fulfill the request, verify facts and rights, coordinate approvals, issue request-specific resources, protect Temen and partner identities, and preserve an accountable decision record. Temen does not use the Media Center to collect passwords, tenant secrets, payment information, or regulated sensitive data.
Access and security
Administrative access requires Microsoft Entra authentication and current Control Center authorization. Approved files use request-specific, revocable access. Uploaded files are private and remain unavailable until malware scanning reports no threats.
Retention
- Active request records: up to 365 days while the relationship or documented need remains active.
- Closed or archived request records: up to 180 days unless a longer legal, contractual, or evidentiary requirement applies.
- Supporting attachment payloads: up to 180 days, after which the payload is removed and the record is minimized.
Backup versions follow the platform recovery window and then expire automatically.

To request access, correction, or deletion where applicable, or to ask a privacy question, email privacy@temensys.com. Temen may retain limited evidence where required for security, contractual, legal, or approval accountability.
